Privacy Notice
How TradeLife handles personal information for accounts, support, security and the TradeLife service.

Who we are
TradeLife Ltd operates TradeLife. We are registered in England and Wales under company number 17374535. Our registered office is 5 Poplar Crescent, Ringwood, BH24 1XA. Privacy and security enquiries can be sent to [email protected].
TradeLife Ltd is registered with the Information Commissioner’s Office under registration reference ZC211238. The registration date is 1 August 2026 and the current registration expires on 31 July 2027.

Our data-protection roles
TradeLife is normally a controller for account administration, security, support, service communications and its own business operations. A subscribing trade business will normally decide why it records information about its own customers, staff, subcontractors and contacts, with TradeLife acting as processor for that customer-controlled information. The correct role depends on the particular processing activity.

Information we may handle
- Account identity, contact, organisation membership, role and security information.
- Customer, site, job, quote, proposal, signature, invoice, payment, calendar and communication records entered by authorised users.
- Documents, photos, receipts, supplier and job-cost evidence.
- Accounting or bank information when the organisation enables an available connection.
- Device, login, audit, security, diagnostic and support information needed to operate and protect the service.

Why we use information
- To provide and administer requested services and take steps requested before a contract.
- To secure accounts, prevent misuse, maintain the service and investigate faults where our legitimate interests apply.
- To comply with legal, accounting, tax, fraud-prevention and regulatory duties.
- To respond to support, privacy and security requests.
- To provide user-requested connected features and integrations.

Sharing, processors and transfers
We disclose information only where needed to authorised users, service providers, professional advisers, regulators or law-enforcement bodies where lawful. Our Subprocessor and Connected Services List describes the principal service categories.
Where a restricted transfer outside the UK requires a safeguard, TradeLife will use an applicable UK adequacy regulation, approved contractual safeguard or another lawful transfer mechanism.

Retention and security
We keep personal information only for as long as reasonably needed for the service, customer instructions, security, disputes and legal duties. Different records require different periods. TradeLife uses technical and organisational controls intended to protect personal information, but no online service can guarantee absolute security.

Your rights
Depending on the circumstances, UK data-protection law may give individuals rights of access, correction, erasure, restriction, objection and portability. Consent can be withdrawn where consent is the lawful basis. Where TradeLife acts only as processor, we may refer a request to the subscribing organisation that controls the information.

AI-assisted and automated features
TradeLife may use deterministic calculations and AI-assisted tools to classify information, draft text, identify patterns or suggest next actions. Important financial, operational and customer actions remain subject to appropriate user review or approval. Missing financial evidence must not silently be treated as zero.
